Role purposeThe role of the Engagement and Change Workstream Support is to provide support and co-ordination to key contacts, business stakeholder and end user communities during a global Transformation and Change programme. To plan and coordinate key workstream deliverables at a country and a regional level. This will involve the development and execution of site and user readiness surveys working with, building and maintaining relationships across the client organisation. Reporting, tracking, scheduling and coordination of core activities along with mailbox and invitation management. You will act as one of the main interfaces between the Programme and the business
Requirements Work with the customer project contacts and internal communication teams to deliver the country and/or regional projects and change requirements.Provide a full work stream support function which includes:Issuing communications in accordance with the agreed communications plan and communications distribution processesCreating and distribution of user and site readiness surveysTracking and collation of surveys including progress reportingLogistics planning for regional offices and branchesMonitoring a dedicated communications mailbox and facilitating user queries and responsesRecording and tracking user responses using a communications trackerLogging Frequently Asked Questions and reporting them to the client project contactMonitoring calendar invitations, chasing non responders and providing user invitation updatesOrganising and scheduling communication eventsEnsure communication channels with the business are open and consistentDeveloping and maintaining relationship with aligned stakeholders at country and/or regional levelsBuilding strong relationships and productive network that spans business and programme teamsWork with any key business personnel, to ensure that the project is meeting the needs of the businessEscalate risks and issuesSkills Required
Clear understanding of Business Change ManagementStrong written and verbal communication skills - taking IT message and transfer into "user speak"Stakeholder relationship managementKnowledge of Desktop transformation programmes in particular VDIMobilisation and induction of Change communitiesSet-up and delivery of site and user readiness surveysOn-going engagement and progress reporting of change initiatives and Stakeholder NetworksDelivery of face-to-face communications (1-2-1 Senior stakeholders to large groups of business representatives)Strong skills in MS Office packages in particular Excel and Powerpoint (creation and design of presentation Decks)ITIL (Desirable)Prince 2 (Desirable)
