The role

*Deliver effective, timely and accurate administration of the employee transactional processes and workflows (excluding payroll and pensions), ensuring a 'right first time' approach minimising errors and double handling.

*Processing high volumes of transactions and responding to high volumes of queries in a high pressure environment.

*Provide administration support for the life cycle processes to support our BL employees in line with BL policy and procedures. This will include recruitment, changes and leavers.

*Take ownership of set up, maintenance and checking of accurate employee records; using all relevant systems and processes to deliver robust audit trail at all times (i.e. ResourceLink Aurora, DbArchive, Optimum)

*Deliver high quality and consistent customer services to all stakeholders, ensuring there are no repeated behaviours or actions which will negatively impact the KPIs and targets.

*Proactively review, evaluate and provide feedback on HR administration procedures in order to support continuous improvement.

Main tasks

*Provide accurate life cycle administration and full records management for all HR and employee transactions (excluding payroll and pensions). From recruitment through to leaving, this will include for example, drafting different contracts of employment for casual and permanent workers; ensuring relevant pre-employment checks are satisfactorily completed within required timescales; ensuring key stakeholders are involved in the leaver process; ensuring Optimum is set up to accurately reflect contracted hours before the start date.

*Deliver key transactional processes to support the BL's People Policies. This includes for example, the Library's Performance Management Record (PMR) process and Redeployment.

*Deliver key transactional processes to support the wider employee experience through the ES portal and other routes. This includes for example reimbursement of Travel & Subsistence claims and Flexible Working Hours using Optimum.

*Working as a member of the ES team, act as first line resolution of queries from managers, staff and HR. Take ownership to resolve queries effectively and quickly ensuring a consistently high customer service approach and robust audit trail and records management. This might include for example, managing data requests and investigations as required.

*Use and maintain e-recruitment functionality to publish and manage BL vacancies: preparing and placing adverts, providing shortlists, interviews and ensure timely and relevant communications with candidates and managers throughout the process

*Working as a member of the ES team, support managers and each other in supporting the peaks and troughs of work so that the whole ES teams KPIs and SLAs are met.

*Working as a member of the ES team deliver first line system administration of staff records such as updating posts, responsibility centres and user email addresses.

*Working as a member of the ES team undertake general office duties such as opening and sorting post, and creating, maintaining and updating desk instructions

*Expected to demonstrate a willingness to take on a range of tasks and to develop new skills, as appropriate, in own or other teams to support the delivery of the Library's services as required by line management

*Be accountable for identifying opportunities and suggesting changes in order to reduce manual interventions and become more efficient; engage in testing and providing feedback on new processes, systems and solutions as required.

Minimum requirements (essential) .

*Hold a recognised HR qualification or have equivalent experience in a similar role.

*High volume processing with strong attention to detail and accuracy.

*Knowledge or experience of ResourceLink, or other similar systems

*Be able to work in an organised manner, in a pressured environment with conflicting demands, meeting deadlines, prioritising effectively and using initiative

*Customer focused approach - demonstrated through good verbal and written communication skills in order to provide an efficient and consistent service to all customers

*Strong team player with a 'can do' attitude, raising ideas for continuous improvements in a constructive manner

*Able to maintain confidentiality and discretion in all activities
