It also carries out key functions for the running of the organization that relate to reporting, analysis and meeting structures. In this role, you will be primarily responsible for coordinating and supporting the whole Directorate by undertaking administrative duties and carrying out processes that support the smooth running of the teams within the Directorate.The Administrator is a pivotal role where you will be creating and delivering proactive and comprehensive administration support for all areas required. Providing support to assist the team in effective workload management and partner relationship managementMain ResponsibilitiesSupport the smooth running of meetings across the team by setting up the meetings, where appropriate ensuring rooms and papers are prepared, taking accurate minutes and keeping and monitoring action logs.To organise calendars and meetings across multiple staff members and teams by monitoring schedules, to enable collaborative working of the teamTo coordinate the range of reports needed to be produced (monthly, quarterly etc); Ensure they are diarized with timely reminders and prompts sent to authors of the content in the team (and outwith of the team if needed); Ensure reports are produced to a high standard and in a timely manner.Provide general administrative support to the team, by managing the directorates teams' channels, monitoring and managing team inboxes where appropriate, supporting with document production and control, development of procedures for administration tasks, booking travel and accommodation and checking team expenses claims.Support in creating content for Policy and Communications digital platforms (Workplace, Pulse, Intranet) by maintaining updates of the directorate's activities and monitoring traffic and responses to postsThe Ideal CandidateAs a collaborative team member, you'll bring exceptional organisational and prioritisation skills to support a large team with varying objectives and deadlines.You'll also be experienced in organising schedules and meetings both internally and with external stakeholders.
