Main purpose of the job
Working across the ROH Group:

To understand the objectives of the Technology Strategy and the organisational needs for the Technology Training service and contribute to the planning process

To deliver an excellent service across the whole training cycle:

  • Needs Analysis
  • Design of Materials

To ensure integration of the service through teamwork and collaboration

Main Responsibilities

Working to the priorities set by the Transformation Manager:
Understand Strategic Objectives

  • Work to understand the objectives of the Technology strategy, key transformation projects and deliverables and maintain a current overview as this evolves
  • Develop an understanding of business critical systems and user groups across the organisation
  • Identify how the Technology Training service can add most value and contribute to the project management planning process to ensure the training cycle and budget requirements are taken into account
  • Contribute a high level Technology Training plan and budget to support the planning process for each project, in discussion with the Transformation Manager

Manage the Service and the Training Cycle
Manage own workload and develop any infrastructure needed to ensure smooth delivery of the service across the whole training cycle:

Needs Analysis

  • Develop a robust approach for training needs analysis to ensure training needs are accurately defined and segmented for different user groups and to help support the business case for any budgetary requirements
  • Ensure that training needs analysis is conducted, and accurate records maintained for all transformation projects, new applications and upgrades
  • Manage a process to scope, propose and gain approval for training solutions for all confirmed training needs including induction for new staff; ensure a range of formats (online and in person) are provided to facilitate the learning process
  • Maintain an up to date perspective on available training solutions, methods and trends through regular review and conducting research as needed

Design of Materials

  • Design and produce materials for all approved training requirements, taking into account user needs, access needs and best practice; ensure practical or online tests are included in the final training modules to enable assessment of learners
  • Develop a range of formats for materials, including on-line materials, with
    documentation, handbooks and A/V materials as well as classroom or workshop style training, to aid the learning process; make full use of available in-house tools and platforms to aid easy access
  • Provide appropriate materials and user friendly language to aid understanding of technical terms, technical subject matter and technical manuals
  • Conduct pilot testing of materials and user reviews as appropriate before launch
  • Ensure continuity and cohesion in design of training modules and related materials, including linking to existing training materials and relevant policy documents

Scheduling the Programme

  • Prepare a draft schedule for all agreed training, taking into account project timelines and the availability of target user groups, also room bookings, facilities and availability of any other speakers or resources as required; consult with key stakeholders and agree the schedule
  • Publish the schedule, working in advance to agreed lead times, and work with other colleagues as required to manage notifications to target groups and their managers and the sign up process
  • Develop and publish a comprehensive schedule for all available IT training, taking into account any existing modules or online materials

Delivery /Publication

  • Confirm any requirements for publication of online materials and schedules, with access to target users, working with the Internal Communications Manager or other staff responsible for the training platform
  • Plan and ensure publication on confirmed dates of all agreed online course materials, manuals and reference documentation; keep published materials up to date
  • Prepare for delivery of all face to face or classroom training, ensuring attendance is confirmed in advance; deliver the designated training and manage the training event
  • Deliver the in person or on line training or host the event if other speakers are involved; ensure an open communication style is the standard to enable staff engagement
  • Provide course completion certificates to learners as appropriate

Evaluation /Record keeping

  • Monitor uptake and completion of all training modules and programmes and maintain progress reports for reporting back to department heads, and other key stakeholders
  • Maintain accurate records to enable tracking of progress for individual learners and
  • Ensure feedback is requested for all training modules and sessions after completion and use evaluation data to support the process for identifying effectiveness and potential improvements
  • Monitor and evaluate effectiveness and value of all training programs and maintain records of all resource allocation

Integration and Teamwork

  • Liaise with the HR Learning and Development Manager to ensure that the planned Technology Training is aligned and integrated with other training plans
  • Work collaboratively and actively consult with Project Teams and target user groups to ensure access to and uptake of all services and materials required
  • Manage communication and activities between departments as required
  • Represent the department as a liaison for technology training with specified vendors if required; undertake any research or selection of vendors, working to any budgetary parameters as agreed

  • Keep up to date on new developments, products and services for technology training
  • Support a culture of information sharing, collaborative working and team working
  • Manage own learning and continuous professional development relevant to the role; undertake any study or qualifications as required

Person Specification 

Essential Knowledge, Skills and Experience
Technology Training Skills and Experience

  • Experience in developing and delivering IT training courses with comprehensive training materials for a range of applications and to a range of users
  • Strong background in technology applications and ability to understand the key points from a user perspective
  • Proven experience of delivering technology training to staff on a range of business applications
  • Experience in supporting objectives for adoption of new technology through staff training
  • Able to understand user needs for each application and identify training needs
  • Familiarity with web-based learning platforms and modern educational techniques
  • Good understanding of organisation wide computer security principles and GDPR
  • Ability to review strategic plans and identify key activities and deliverables for the training service

Workload Management Skills

  • Highly proficient technology skills, particularly with on-line tools, scheduling,
    spreadsheet and presentation packages
  • Experience of data analysis and able to provide effective record keeping
  • Good report writing skills
  • Strong workload management skills, able to plan ahead, consult with others and manage workflow to achieve desired outputs
  • Ability to manage own time to deliver to agreed timescales for agreed projects
  • Ability to deliver programme plans and budgets as part of the planning cycle

People Skills

  • Ability to communicate effectively with users and learners at all levels in the
    organisation
  • Excellent communication skills with the ability to explain technical terms plainly
  • Able to maintain positive relations with all user groups and stakeholders
  • Experience of working successfully with cross discipline teams
