Office Manager required for a 9 month contract

Based at the Vivace IDT London office in Vauxhall, this role will be to ensure the smooth and efficient running of office operations, reflective of a FTSE 250 company working in partnership with central government (Home Office).The candidate must be driven to seek innovative ways to surpass customer expectations, both through excellent customer service, and dynamic operational working procedures.

This role will be very varied, and the candidate must be happy to work in an office environment that can be extremely busy, as well as quieter at times. This role must where possible organise and plan these periods to create a smooth running atmosphere.

Key Accountability's

1. To be the main point of contact for all staff and visitors in the office, and handle enquires with a competent and polite attitude, directing queries to a relevant team member

2. Manage drop-in arrangements for consortium members, ensuring that they are supported during their stay. Work with them to facilitate introductions and make connections across the consortium and within the ACE team to further the Home Office ACE vision.

3. Screening and hosting visitors, ensuring that security and safety procedures are briefed and followed, but that visitors feel they have had a personal welcome and their immediate needs have been met before being passed to their host.

4. Ensure the smooth running of the office on a day-to-day basis, acting as point of contact for any problems and queries regarding common services and facilities

5. Liaison with the Landlord on all aspects of the QinetiQ occupation of Tintagel House, including facilities, security, services etc.

6. To be alert and aware to any safety or security risks that might threaten QinetiQ business, employees, visitors, or office environment, and report to the Operations Manager. Recording and monitoring all persons that have permanent or temporary access to areas of the building

7. Ensure the smooth booking and running of all on-site meetings and events. Catering to be delivered and arranged appropriately, rooms to be presentable, clean, and tidy. Liaise with IT and AV support organisations to ensure that office facilities are operating smoothly and reliably

8. Ensure the office is maintained and to a high specification, this includes management of hard and soft services. There will be a mix of landlord and locally procured systems and services. This will involve liaising with the Tintagel House front of house team, as well as directly with specific contractors. Escalating where appropriate issues, and concerns with the Operations Manager

9. Develop and maintain "house rules" to ensure that the office is presented at the highest possible standard at all times and encourage/enforce adherence

10. Ensure all Financial administration is completed on time, including monitoring and recording of purchase card spend

11. Fire warden and first aid trained (training provided)

12. Provide assistance to senior leadership as deemed necessary

* Flexible with working hours, in order to best accommodate office visitors and events

* SC Clearance will be required

* Proven experience in office management

* Face to face customer service

* Client/customer engagement and networking

* Highly organised and with outstanding communication

* Experience of Security procedures and visitor management

* Experience of health and safety procedures; including incident reporting arrangements

* Adherence to the Health and Safety policies and procedures.
