The PMO Coordinator Opportunity: We are now recruiting for a Coordinator to join our Professional Services Delivery Team. Reporting directly to the Head of Resource Delivery, you will be responsible for coordinating and supporting key administration tasks within the Professional Services Team efficiently and accurately.? The ideal candidate will be a self-starter with a keen eye for detail and have excellent planning and organisational skills. Key Responsibilities: + Effectively manage the allocation of resource accordingly
+ Administration of KPI reporting for Project Managers, Project Coordinators and Project Administrators, including the preparation of the six monthly KPI review sessions;
+ Ensure the administration of PM dashboards for Project Managers, Project Coordinators and Project Administrators are accurate at all times
+ Produce the weekly PM dashboard report
+ Approve the PMO team timesheets and any adjustments where required in a timely and efficient manner
+ Assist with the month end reporting, this will include but not be limited to:
- Ensuring all bookings are correctly entered into Time & Space with the correct cost rate
- Making adjustments to allocate RETRO bookings to OPFs
- Liaise with Finance to ensure month end reporting is up to date and that any OOH work will be paid in the following month.
+ Manage the NPS feedback and share the results with the Principal Project Manager, Professional Services Team Manager and Head of Professional Services Delivery and PMO
+ Manage the closure process for projects working with PMO, Project Managers and Purchasing to ensure all parts of the process are adhered to
+ Assist with HR and Internal Support paperwork for PMO employees
+ Assist with organising the quarterly and monthly meetings
+ Support the PMO mailbox, covering annual leave and as an additional project resourcer as the department grows. About You: + Previous experience working in a resourcing role within a technology environment is highly desirable
+ Experience of process management
+ Experienced coordinator with the ability to carry out tasks to a high standard with a strong eye for attention to detail and a thorough approach to their work
+ Highly proficient using Microsoft packages including Teams, SharePoint, Word, Excel and Outlook
+ Previous experience of using MS Project and Visio is highly desirable
+ Excellent communication skills, both oral and written with the ability to effectively articulate an opinion and engage with both internal and external stakeholders through a variety of different mediums
+ Excellent interpersonal skills, the ability to build and maintain relationships and work cross functionally and interact confidently
+ Solid planning and organisational skills with the ability to prioritise work
+ Ability to question and challenge decisions and opinions
+ Practically minded with excellent problem-solving skills, but understands when to escalate issues
+ A self-starter with the ability to work independently with minimal supervision
+ Robust and resilient in approach - the confidence to challenge and 'push back' when needed as well as the ability to work calmly under pressure
+ Team player - understands the importance of individual as well as team contribution
+ An understanding and/or appreciation of new and emerging technologies is highly desirable Qualifications + Educated to A Level (or equivalent);
+ ITIL (or equivalent) or another project management qualification is highly desirable.
