Overview of the Function

We have more than 500 people globally providing the facilities management services that keep our offices running. That includes front-line services such as reception and catering, and back of house services such as helpline, purchasing and supply, reprographics, switchboard and travel.

Role summary/purpose of job

This role is responsible for managing the premises used by Freshfields in London, delivering efficient and cost effective operations across a range of workplace services. This requires both leadership of internal teams and management of material external contracts, addressing maintenance, AV/VC, environment, engineering & energy, premises projects, building security, cleaning and vending in compliance with Health & Safety and aligning with best practice. It also requires leadership of interactions on building operations with landlord(s) of our premises, and collaboration with the wider Workplace leadership to establish and implement the strategic direction for workplace services in London.

Key responsibilities and deliverables

Planning, monitoring and reporting of the Premises budget, including London Estate rent and rates, service charges, utilities and capital expenditure.

Management of London premises 100 Bishopsgate, (and Whitefriars & Northcliffe until Dec 2020), liaison with Landlord and Managing Agents, co-tenants, sub-tenants and legal and commercial advisors on property strategy and lease events and maintaining estate records.

Management of relationships and contracts with external service providers for engineering work and fabric maintenance, construction projects, building security, cleaning, vending and a/v support, ensuring services are specified according to the needs of the business and performing according to recognised SLAs and KPIs

Managing: audio-visual, presentation and filming service in close liaison with Global Technology teams, technical and IT support to FM and premises management systems (including PlanOn)

Actively managing and reviewing all service contracts under Premises control.

Planning, implementation and management of the firm's UK security policy (excluding IT security).

Planning, implementation and management of the firm's London Engineering Services.

Maintenance and regular review of the department's compliance with Health & Safety requirements in the London office and supporting ISO certification, in collaboration with the Health & Safety team. This includes the management of water quality in the London office.

Ensuring the firm's compliance with environmental requirements and targets and maintaining ISO certification.

Planning, implementation and management of the firm's London refurbishment and building fabric upkeep projects.

Management of Premises staff, supporting development, managing performance appraisals, modelling and promoting firm's policies and values.

Key requirements (Communication/skills/experience)

Essential

Property/engineering experience 250,000 sq Ft +.

Senior facilities management experience in the financial or legal sectors.

Contract management experience, specification of services, tender, performance management, SLA & KPI reporting and regular performance review.

Capable of flexing style to engage effectively with a wide variety of internal and external specialists.

Strong procurement and negotiating skills.

Able to interpret recommendations to best suit the firm's needs.

Practical and innovative approach to managing teams and services.

Strong leadership skills.

Effective organisational and communication skills.

Competent budget analysis and management.

Flexible and effective time management.

Analytical and problem-solving skills.

Desirable

Membership of IWFM.

Experience of implementing and maintaining ISO standards certification

Project management experience.

Working knowledge of building related technology, premises management software and London professional services offices.
