Office Manager - Part-Time - Holborn

Our Client is an international company with offices in the UK, USA and India.

They require a part-time Office Manager to work 10 am to 2.00 pm Monday to Friday for a period of 3 months starting ASAP.

The following is list of functions for the role:

Diary planning for London team and management visits from elsewhere in the world.

Open post and scan paperwork for transmission to India when necessary.

Ensure that sufficient stationery supplies are in place to meet the needs of the team.

Ensure that printers and other office equipment are working effectively, buying supplies as necessary.

Maintain liaison with the telephone and mobile device account manager for the company, troubleshooting individual phone problems as required.

Maintain liaison with the building services Management Company and front desk concierge.

Maintain and monitor supplies of fruit and beverages for the team and make arrangements for refreshments for visitors as required during workshops and meetings.

Maintain the Petty Cash system, accounting monthly for payments made.

Ensure staff complete regular expenses claims in a correct and timely manner, liaising as appropriate with the company accountant.

Upkeep of the office, maintaining liaison with the cleaning company about any additional tasks for the daily evening cleaner.

Occasionally organize restaurant and venue bookings for meetings.

Undertake any other duties and interactions with finding and setting up suppliers to ensure the smooth running of the office.

Work with colleagues across the world to maximize efficiency and effectiveness of a global organization.

Work in conjunction with Finance for property/ asset Insurance renewals.

Procurement process and supporting, follow up for invoices, validating invoice with PO and agreement/contract/approvals and submitting invoice with supporting documents/approvals to Finance.

Obtaining credit card statement, supporting invoices and approvals.

Checking and maintaining physical asset register for the Company.

Maintaining essential First-aid kit in the office.

This is a part-time 3 month assignment.
