PRIMARY PURPOSE OF THE JOB

Reporting to the IT Supplier Performance Manager the role will be primarily responsible for leading and governing a subset of critical suppliers delivering core IT services in infrastructure and outsourced capabilities supporting VWFS UK IT function, operating with delegated authority from the IT Supplier Performance Manager.

Duties include: drafting statements of work to satisfy requirements, scheduling and administering requirements for major tenders and reviews, establishing new or amending existing commercial and framework contracts to represent changing business needs, running regular supplier review meetings, handling supplier related escalations, arranging supplier payments, assessing potential supplier budget risk and opportunities, engaging with the wider market to deliver innovation in supply where possible, collaborating with other VW entities and third parties to mature the supplier landscape, running supplier operating processes managing supplier risk and supplier scorecard, in short 'owning the supplier relationship'.

MAIN RESPONSIBILITIES

VWFS IT Supplier Performance Management has a total of around 60 active BAU suppliers under governance by the team, with approximately 30% of these are Tier1 (Essential Suppliers) defined in the Risk BIA (Business Impact Analysis) we depend on in varying degrees for the operation of Critical Processes in the wider business. The suppliers are further classified into three main supply categories equalling around 20 suppliers in each; Infrastructure, Services, and HQ/Internal. Total annual expenditure with suppliers governed by the Supplier Performance team currently exceeds £30m (2016).

The main responsibilities of the role are to:

* Lead relationships with assigned suppliers providing services to IT Service Delivery and Solutions Delivery (IT Development and Test teams) and also directly with the wider business, delivering secure commercial partnerships with representatives from the VWFS Legal and Procurement functions to deliver IT services including Critical Services to support VWFS business operations.

* Lead the sourcing changes defined by the IT Sourcing Strategy for a category of supply in order to increase value and assure secure, stable and compliant supply partnerships.

* Accountable for delivering specific category supplier change as prescribed by the IT Sourcing Strategy, identifying service requirements and providing effective partnerships, assuring the performance of suppliers in delivering sustainable services to our growing business.

* Define and capture in contract commercial terms such as service level agreements, performance metrics, service credits, change requests and regular reporting to assure effective supplier partnerships to assure that supplier risks are managed and controlled.

* Contribute to the wider monthly supplier status report and score card for delegated suppliers that includes structured feedback from key stakeholders in the IT function regarding the perception of and/or delivery of supplier services to ensure that supply continues to be to the required standard and fit for purpose.

* Lead monthly service reviews with assigned suppliers against defined Service Level Agreements (SLAs) identifying achievements, performance against Service Level metrics and Key Performance Indicators (KPIs), trends, risks and issues and pipeline activities.

* Create, review and continuously improve a service improvement programme for assigned suppliers, including collation of supplier feedback and recommended actions regarding improvements that can be made in VWFS UK IT, to adapt and exploit emerging opportunities and deliver planned supplier changes meeting the needs of the wider business.

* Lead supplier escalations where necessary including breaches of contract for IT stakeholders for assigned suppliers, planning and managing such escalations to resolution to resolve and minimise supplier risk to business operations.

* Proactively manage and turnaround suppliers for any assigned services where a shortfall is identified. If necessary, escalate and work with key stakeholders, the IT Supplier Performance Manager, Procurement and Legal teams to reassign services and terminate engagement as appropriate for any failing supplier to minimise supplier risk to business operations.

* Lead IT in the assigned supplier ITT RFQ or RFP tender and re-tender processes, representing all functional quality, regulatory and policy requirements in conjunction with the Procurement and Legal function to ensure stable, compliant and secure supplier relationships.

* Work closely with VWFS Risk, Legal and Procurement functions to ensure adherence to process and policy changes relating to assigned IT suppliers or supplier categories in order to assure compliant and secure supplier relationships for outsourced IT services.

* Lead annual executive and quarterly management contract reviews with assigned suppliers to ensure supplier strategies are aligned and consistent with VWFS strategy.

* Responsible for the effective on-boarding of new suppliers and the disentanglement of redundant suppliers as assigned to manage the risks in supplier engagement and minimise the risks to business processes.

* Contribute to maturing and adherence to regulatory standards such as MaRisk (Federal Banking Authority) and BaFin requirements and global corporate guidelines set by VWFSAG to assure supplier compliance and avoid regulatory and policy breaches.
